DUTIES OF BULLETIN-OUT 1. Refreshments – or can be delegated
2. Filling out postal forms and yearly audit. Working with subscriptions for count for renewals and making sure there are enough renewal forms for that issue so may be assembled and stapled first.
3. Need to have a copy of whole bulletin to count ads and give percentage to Subscription person before assembly night so postal forms can be filled out. Need to know number of pages and weights of bulletin so postage can be calculated.
4. Being at the Grange to open up by 4:30 and have set up since people show up at 5-5:30 not around 6:00.
5. Setting up stapler and tables for assembly and checking for all pages are in order.
6. Keeping track of the number of bulletins givin out to assembly people, class visitation, editor, ads person, multi cycle and subscriptions so forms may be filled out in October for the postal audit statement. That also needs to be printed in the November Bulletin.
7. Working with the Mail table for lables and count is correct, the number of labels and Bulletins match the postal forms for postage.
8. Sorting table, making sure bulletins are in the correct mailing boxes per postal regulations for mailing.
9. Taking bulletins to General Mail Facilities. Needs to be done before 3:00pm, less people and easier to get bins to put boxes in. Need to go on Wednesday at the latest if subscribers are to get bulletin before council meeting on short months, (assembly night on the 27th or later) since the 1st Sunday is that coming weekend.
10. Attending council meeting to make report if editor is not there.
11. Audit of mailing once a year. Bulletins need to be sorted out renewals separate from regular mail. Not mixed like the rest of year.
