DUTIES OF CLUB REPRESENTATIVES TO DAS&RDC

 1.       At the September meeting each representative must complete the Membership information form, and leave it with the membership committee.

2.       Each Club Council dues are $15.00 per year, payable September 1.  Dues must be paid by November 30, to give Council Treasurer time to send State Association dues ($5.00 per club) in, before January 1.  Those clubs not paying by the 30th of November will be considered a member not in good standing, until such dues are paid.

3.       When there is a change of officers, especially President and/or representatives, make the change of the information form and pass to the Membership Committee.

4.       A suggestion for club consideration on selecting representatives, is to elect or appoint on a two-year basis.  Each year one new representative would start with one experience representative continuing from the previous year.  This way your club and the Council will have people familiar with Council activities, plus new ideas from the new representative.

5.       It is suggested that each club have two square dance couples as representatives (each person having one vote).  It is REQUIRED that each club have at least one couple representative at each Council meeting in order to maintain Council standing.  A club becomes "suspended" when both of its representative square dance couples are absent three consecutive Council meetings, thereby losing all voting privileges until reinstated.  A perfect attendance is having two representative square dance couples at each of the ten Council meetings.  Such perfect attendance awards the club a $20.00 discount coupon towards a Bulletin full page ad.

6.       Each person can represent only one club at Council meetings, no matter now many clubs they belong to.

7.       It is very important for all representatives to be on time, for the Council meeting.  Meetings start promptly at 6:00 p.m.  Representatives must sign in by 6:00 p.m., the day of the meeting, to be listed as present.

8.       If the regular appointed or elected representative cannot attend a Council meeting another club representative from the same club may sign in as Council Reps for that meeting.

9.       All representatives should take notes, and take all pertinent information and official forms back to their respective clubs, making sure that club members are informed on the Council activities.

10.  Publicize all club, Council, callers, and State activities to all dancers, so they may benefit.  Also keep Council officers informed on your club activities.

11.  You are urged to take an active part in the Council meetings, particularly on any controversial matters.  Take such matters back to your club for their expression on how they feel about the matter.  (At the next Council meeting VOTE on the matter according to the wishes of your club.)  If your club has a matter that should be properly brought before the Council, then bring the matter up during the "new business" portion of the meeting.  The Council wants, and needs your input.  Remember, you are representing your club, and you are the voice of your club.  When you speak, the Council assumes that you are speaking for your club.

12.  Always keep the future of square dancing in mind when you vote on any constitutional change.  Constitutional changes are often easy to vote in, but hard to vote out.  YOU SHOULD RAISE YOUR VOICE, AND GIVE YOUR OPINION.
