DUTIES OF DAS&RDC SECRETARY

 1.       The Secretary is a member of the Executive Board.

2.       The Secretary is responsible for the taking of minutes at all Council meetings and Executive Board meetings.

3.       The minutes are to be distributed in the following manner:

For the Council meetings a copy needs to be sent to the printer to be published in the BULLETIN.  This copy needs to be reduced to BULLETIN size, if possible.  Work with the Editor to see that it is sent to the printer by Thursday following Council meeting.  Two copies should be sent to the President and one copy to all Board members and a copy should be kept in the Secretary's notebook.

For the Executive Board meetings two copies should be given to the President, one copy to all Board members and a copy should be kept in the Secretary's notebook.

4.       Minutes will be published in the BULLETIN and voted for approval at Council meeting.  The President will request you to read any correspondence at the meeting.

5.       Hand-written invitations should be sent by the Secretary to each club President for the Council's annual Presidents' Night.  These should be sent out at least one month in advance of the date of this event.

6.       The Secretary is responsible for all correspondence which is needed.  A copy of correspondence sent out or received should be kept in the Secretary's notebook.

7.       The Secretary should type all job descriptions on each office and chairmanship.  The President will give these to you.  Three copies should be made, two to be given to the President and one to keep in the Secretary's notebook.  The original goes to the person holding the office.

8.       The Secretary should order all Council stationery as needed, such as business envelopes, typing sheets, cards with envelopes (for invitations, thank yous, etc.)

9.       The Secretary is to provide copies of the Executive Board minutes at Council meetings to anyone interested.
